UTSOnline Exam Invigilators Guide

This document contains instructions for UTS exam monitors who are assisting with a UTSOnline based exam or test.

IMPORTANT: Edit Mode MUST be turned on to check test settings. To enable edit mode toggle the Edit Mode button to the ON position. The Edit Mode button is located under your username in the top right hand corner of the screen.

Problem: The test cannot be found

Solution: To check the location of the test go to:

Control Panel > Subject Tools > Tests, Surveys and Pools > Tests

The location of the test is displayed in the DEPLOYED column

The folder where the test is located will be displayed in the DEPLOYED column.

Unfortunately the full path is not displayed. To make tests easier to find, we recommend that tests be located in one of the top level folders displayed in the site’s main menu.

Problem: The test is not visible to students

Solution: If a test is not available then please check the following:

  1. Locate the test with Edit Mode on
  2. Hover over the test’s title until the drop down menu is displayed, then select Edit the Test Options

  3. If “Availability: Item is not available” is displayed then students will not be able to view the test.
  4. Access the drop down menu for the test
  5. Choose Edit the Test Options
  6. Go to the TEST AVAILABILITY section
  7. Set the “Make the link available” option to Yes

  8. If additional text exists that says “It will be available after DD/MM/YYYY 00:00 AM/PM” then perform ALL of the remaining steps.
    If an availability date/time has not been set then skip to step 11
  9. In the TEST AVAILABILITY section, check which of the Display After and/or Display Until check boxes have been checked
  10. If checked, ensure that starting time of the test occurs AFTER the Display After date time and BEFORE the Display Until date. If it doesn’t sit between these dates adjust them as appropriate (or remove the check boxes).
  11. Scroll to the bottom of the page and click Submit. The test should now be visible to students.

Problem: A password has been set and is unknown or not working

IMPORTANT: Passwords are case sensitive. Please confirm that you are using the correct case for each character.

Solution: To check or change the password:

  1. Locate the test with Edit Mode on
  2. Choose Edit the Test Options
  3. Go to end of the TEST AVAILABILITY section
  4. If the Password box is checked then the password is active
  5. Check that the password given to students is correct. If necessary, re-enter the password after consulting with the exam supervisor

  6. Scroll to the bottom of the page and click Submit

Problem: The test cannot be completed because the due date has passed

Solution: Remove or change the due date setting:

  1. Locate the test with Edit Mode on
  2. Choose Edit the Test Options
  3. Go to end of the DUE DATE section

  4. Uncheck the box for the “Do not allow students to start the Test if the due date has passed”
  5. Scroll to the bottom of the page and click Submit

Problem: Extra Provisions given to individual students or groups need to be checked/adjusted.

Examples of extra provisions include extra time to complete, sitting the test at a different time etc.

IMPORTANT: These settings will override the standard settings for the test (e.g. the time of availability).

Solution:

  1. Locate the test with Edit Mode on
  2. Choose Edit the Test Options
  3. Go to end of the TEST AVAILABILITY EXCEPTIONS section

  4. If exceptions have been set a table with the following criteria will be displayed:
    NAME (name of the student)
    ATTEMPTS (single, multiple or unlimited attempts)
    TIMER (the time to complete the test in minutes, plus a check box for the Auto Submit feature)
    AVAILABILITY (the time period during which the test may be started)If the relevant student/group is listed then check/change the settings as required, then scroll to the bottom of the page and click Submit
  5. If the relevant student/group does not have an exception click the Add User or Group Button
  6. A pop-up window will be displayed that allows you to search and select users and groups to be given exceptions.
    By default all users and groups will be listed.
  7. Search for the student using their full student ID (displayed here in the USERNAME column).
    The search settings used should be Search: Username Equal To
  8. Select the relevant user or group by clicking the check box in the relevant row, then click submit
  9. You will now be able to alter the amount of time etc for the selected groups/students. Repeat the process to add new students if required, then click Submit to finalise the changes.

Problem: The time available to complete the test is incorrect

NOTE: for students with Extra Provisions please see the section on Extra Provisions)

Solution: To check/alter the time available to complete the test:

  1. Locate the test with Edit Mode on
  2. Choose Edit the Test Options
  3. Go to the TEST AVAILABILITY section

  4. Confirm that the Set Timer box is ticked
  5. The Minutes box indicates the number of minutes available to students to complete the test. Alter the number of minutes as appropriate
  6. Scroll to the bottom of the page and click Submit

NOTE: Setting the Auto-Submit option to ON is highly recommended. This will ensure that all students submit their exam when the time expires.

Problem: A student’s test attempt needs to be cleared because they have been locked out of the test

IMPORTANT: This will normally only occur when the Force Completion option has been selected (use of this setting is not recommended)

If Force Completion is not set then students should ALWAYS attempt to re-commence the exam before the attempt is cleared.

The clock does not stop if the student accidentally exits the test window. If a student is able to re-enter the test they will be able to complete the test from the point that they exited. Any answers the student has saved will have been recorded.

IMPORTANT: It is not possible to partially clear a student’s test attempt. Clearing the test attempt will clear all the answers the student has entered.

Solution: To clear a student’s attempt:

  1. Go to the Grade Centre (located under SUBJECT MANAGEMENT in the main menu)
  2. Go to the Full Grade Centre

  3. Find the student using their student ID. This will be displayed in the Username column
    IMPORTANT: A blue pie icon indicates that the test in progress. A number indicates a completed test score. Two dashes indicate that no attempt exists.
  4. Hover the mouse pointer over the blue pie icon. Click to open the drop down menu
  5. Click on the Attempt that you wish to clear

  6. The student’s attempt will be displayed. Click Clear Attempt to remove the attempt

  7. You will be asked to confirm that you want to remove the attempt. Click OK.
  8. The Grade Centre will be displayed. Two dashes will appear in the field where the Attempt in progress icon was.
    The student may now re-attempt the test.
