Using Qwickly Attendance

The Qwickly Attendance tool is available for all subject sites in UTSOnline. Subject Coordinators and Instructors can choose to use the Qwickly Attendance tool by navigating to the Control Panel of their UTSOnline subject site, and selecting Qwickly Attendance under the Subject Tools menu (see image below):

If you cannot see the Qwickly Attendance tool, expand the Customisation menu in the Control Panel, and select Tool Availability. Scroll down through the list of tools until you see Qwickly Attendance. Tick the checkbox next to the Qwickly Attendance tool then click on the Submit button. The Qwickly Attendance tool will now appear on the Subject Tools menu.

Configuring the Qwickly Attendance tool *

For the first time, the user needs to enable the Attendance Tool and choose personal preferences including Attendance Style, Adding Custom Statuses etc. The Attendance Tool settings can be revisited at any time to change the initial preferences.

Step 1: Click Begin Set-Up button.

This will open Qwickly Attendance Settings page, all the settings are usually accompanied by a question mark (?) button. You can read more about these settings by taking your mouse over the ‘?’ button. Once saved, all settings can be revisited at any time.

Step 2: Change any settings as you like and click “Save Settings” button at the bottom.

The instructors can choose to show all the students or decide to show them as per their subject site groups.

They can also choose the Default Style of Attendance Sheet as List (where all the students will be listed) or One by One method (where one student name will appear on the screen for instructor to call out). They can also set Check In as the default option, which will allow students to check in themselves.

The instructors can choose to Show Student Absences as well as decide to Round Attendance Grades to Nearest Whole Number automatically.

We recommend keeping “Show Unavailable and Disabled Students in Record” option as Unchecked.

In the next section, the instructors can choose to add a new grade centre column for attendance and give it initial points, these points will automatically decrease with each missing attendance. The instructors can also add a second column for reporting Absences as well.

After saving the settings, you can click “Take Attendance” link on the top of the page. Alternatively, you can also click “Qwickly Attendance” link under “Subject Management > Subject Tools”.

The take attendance page will show you the students as per your preferences saved in the initial settings page. By default, “Take Attendance” page will look as follows:

Here you can click “Present or “Absent” button, you can also click the Blue Dialog button to add comments. The instructors can also label any session title like “Lab or Tut1 etc” to mark multiple attendances on the same date. Once all the students are marked, you have to click “Submit Attendance” button at the bottom.

Moreover, you can see the complete attendance record by clicking “Attendance Record” link on the top of the tool. Furthermore, you can change the status of any attendance from present to absent etc by clicking the appropriate attendance icon for any student.

Adding the Qwickly Attendance tool to the menu *

If you want students to access the Qwickly Attendance tool in your UTSOnline subject site, you can add a Qwickly Attendance menu item link.

Refer to the steps below to add the Qwickly Attendance tool to the menu of your UTSOnline subject site.

Click on the left and right arrows below to navigate through the slides. If you cannot see the arrows, please use the bullets located below the slides:

  • Step 2 of 5: On the upper left of the site menu, mouse over the plus '+' icon and select Tool Link. This will open the Add Tool Link pop-up.

  • Step 3 of 5: In the Add Tool Link pop-up, enter a name for the tool link such as "Attendance" and in the Type dropdown list, select Qwickly Attendance.

  • Step 4 of 5: Check the Available to Users checkbox if you want to make this menu item available to students. Click on the Submit button to save your changes.

  • Step 5 of 5: The "Attendance" menu item will now appear in your UTSOnline subject site. You can drag this menu item if you need to reposition it in the menu.
