Staff Accounts
All new permanent and contract staff have an account created for them in UTSOnline according to information provided by the Human Resources Unit (HRU). Once an account has been set up by HRU, it will be available in UTSOnline soon after.
Logging into UTSOnline *
Your UTSOnline username is your UTS Staff ID. If you are unsure of what your staff ID is, contact HRU on 02 9514 1060 (email: hrclientservices@uts.edu.au).
Your password for UTSOnline is the same as your UTS email account password, which is set by you when activating your UTS email account.
Activating your email account is done using the UTS: My Account tool.
If you need help with activating your account or have any other enquiries about your account, you can contact the IT Support Centre. Please have your UTS Staff ID with you before contacting the IT Support Centre.
The UTSOnline Student-View account for UTS Staff *
Along with your UTSOnline staff account, all staff have an associated UTSOnline Student-View account. The Student-View account is a separate UTSOnline account that will allow an Instructor to log into UTSOnline as a student and view their UTSOnline subject site as a student would.
To use your Student-View account, you first need to activate it if you have not used it before. Refer to the steps below to activate your Student-View account. During the activation process, you will have to go through the password reset process to sync the password from your main staff account to your Student-View account.

Once you have activated your Student-View account and synchronised the password with your UTS staff account, you can now login into UTSOnline using your Student-View account. The username of your Student-View account is your UTS Staff ID followed by ‘st’ e.g. 012379st. The password is the same as your UTS staff account password.
To view your UTSOnline subject using your Student-View account, you will first have to add your Student-View account to your UTSOnline subject.
A suggested way to work, if you have multiple web browsers, is to use a different browser to log into UTSOnline using your Student-View account. This will save you time logging in and out of the same web browser.
Note: An alternative to the Student-View account is Student Preview Mode which allows an Instructor to view their UTSOnline subject as a student without having to log off.
Requesting a name change *
To change your preferred name, firstname, or surname in UTSOnline you will need to request that it is changed on the Human Resources Unit (HRU) system. Once the change has been made in HRU, UTSOnline will automatically be updated with the new name. What happens when my staff contract expires? *
When your UTS staff contract expires, your UTSOnline Staff and Student View accounts will be disabled (not deleted) the following working day.
UTSOnline staff accounts stay disabled on the UTSOnline system for 60 days so that they can be re-enabled for staff who renew their contract within that time. If your contract is not renewed after 60 days, your UTSOnline staff account and your Student View account are deleted.
So how do you access UTSOnline without an active staff contract? You need to contact a current UTS staff member to submit a Temporary UTSOnline account request on your behalf.
How Do I Request a Temporary Staff Account for someone else? *
To request a temporary staff account for someone else, there is a separate form for requesting each type of account. These forms are accessed via the links Request a temporary ‘New Staff Account’and Request a temporary ‘Non-UTS Staff’ Account which are available on the Forms for Subject Setup tab inside UTSOnline. You will see that tab when you log into UTSOnline using your staff ID.
If you need a temporary staff account for yourself, you will need to have a UTS staff member submit a form as above.
